Administrative Intern

Purpose

The Administrative Intern is designed to provide current students or recent university graduates more work experience with real on the job training. He/she is also expected to assist the HR/Admin Department in their daily routines.

Key Responsibilities of the role

  • Assist the Admin team to maintain office order and tidiness at all time
  • Assist the Admin team to maintain inventory, storage cabinets and pantry is in proper order
  • Assist the Admin team to maintain hard copies, electronic filing system and suppliers list
  • Assist the HR team to call candidates for test or interview
  • Assist the Admin team to renew employee's visa extension
  • Building Maintenance Checks and Communications
  • Answer telephones and transfer to appropriate staff members
  • Meet and greet clients and visitors
  • Manage helper monthly tasks schedule and food schedule
  • Keep track of employee's information record (employee's information, birthday, other events etc..)
  • Coordinate guards schedule and public holidays/weekends
  • Control regularly and refill refreshment (coffee, milk, fruit etc..)
  • Key in reports into a database record as requested
  • Perform general duties such as documentation, photocopying, filing, stamping and buying things
  • Continue to do learning and development for self-improvement

Experience, qualifications, and skills

  • Students or fresh graduates of Business Administration or other related fields
  • Understanding the HR/Admin concept
  • Strong communication and interpersonal skills
  • Ability to work under pressure and tough deadlines
  • Strong commitment, willingness, patience, flexibility and fast mover
  • Good command of English both written and spoken
